Contact us by phone, email, or through the quote form on this page. Tell us the number of totes, whether they are full or empty, your facility address, and any site constraints such as dock availability, gate hours, or forklift access. The more detail you provide upfront, the faster we can dispatch.
Logistics Assessment
Our dispatcher reviews your request, selects the optimal vehicle from our fleet, and checks driver availability against your preferred date and time window. For first-time pickups, we may ask for photos of your loading area to ensure we send the right equipment.
Confirmation & Scheduling
You receive a confirmation with the scheduled date, estimated arrival window (typically a 2-hour block), truck type, and driver name. For recurring accounts, this step is automated � your pickups appear on a shared calendar with automatic reminders 24 hours in advance.
Day-Of Dispatch & Tracking
On the scheduled day, our dispatcher confirms the truck is en route and sends you a GPS tracking link. You can monitor the vehicle in real time and receive an automated notification when the driver is 30 minutes out. If traffic or weather causes a delay, we proactively notify you with an updated ETA.
Loading & Securement
Our driver arrives with all necessary equipment � pallet jack, forklift if scheduled, straps, edge protectors, and blocking materials. Totes are inspected, counted, and loaded per DOT securement standards. The driver coordinates with your dock crew or handles loading independently if your site does not have dock staff.
Documentation & Departure
Before leaving your site, the driver produces a bill of lading listing every tote loaded, condition notes, and any special handling flags. You sign the BOL, keep a copy, and the totes are officially in our custody. Photo documentation of the loaded truck is captured for your records and ours.
On-Site Operations
Loading & Unloading Procedures
Different facilities have different access configurations. We have a loading procedure for every scenario, from standard dock-height bays to sites with no dock at all.
Dock-Height Loading
Standard loading for facilities with dock doors at 48-52 inches. Our trailer backs into the dock, the gap plate is lowered, and forklifts move totes directly from your warehouse floor into the trailer. This is the fastest method � a full 53-foot trailer can be loaded in under 45 minutes with two forklifts operating in tandem.
Requirements: Standard dock door (8 ft wide x 8 ft tall minimum), dock leveler or gap plate, forklift with 48-inch forks
Ground-Level Loading with Liftgate
For sites without loading docks, our box trucks carry hydraulic liftgates that lower to ground level. Totes are rolled onto the liftgate via pallet jack, raised to cargo floor height, and pushed into position inside the truck. This method accommodates facilities operating out of standard warehouses, farm buildings, and retail locations.
Requirements: Level paved or concrete surface, minimum 12 feet of clearance behind the truck for liftgate operation
Forklift Side-Loading on Flatbed
Flatbed trailers accept forklift loading from both sides and the rear. This is the most versatile option for outdoor yards, gravel surfaces, and facilities where dock access is blocked. Our driver positions the trailer, removes side stakes as needed, and directs the forklift operator for optimal weight distribution.
Requirements: Forklift with minimum 3,000 lb capacity, 20 feet of clear space on at least one side of the trailer
Crane or Overhead Loading
In rare cases where ground-level and dock access are both impractical � such as totes stored on upper floors, behind fencing, or in confined mechanical rooms � we coordinate with crane operators to lift totes over obstacles and onto our trailer. This specialized service is quoted on a case-by-case basis.

Specialized Transport Services
Not every IBC tote is a straightforward empty container. We handle a range of special circumstances with the right equipment, training, and documentation.
Hazardous Residue Containers
Totes that held hazardous materials are transported by drivers with current DOT hazmat endorsements. Proper shipping papers, placards, and emergency response information accompany every hazmat shipment. We comply with 49 CFR hazmat transportation regulations and maintain spill response equipment on every hazmat-designated truck.
Food-Grade Containers
Reconditioned food-grade IBC totes are transported in enclosed, clean trucks to prevent contamination during transit. We do not mix food-grade containers with industrial or recycling-bound totes on the same load. Enclosed trailers are swept and inspected before loading food-grade shipments.
Full (Liquid-Loaded) Totes
Transporting full 275-gallon or 330-gallon IBC totes requires careful weight distribution and securement. Each full tote weighs approximately 2,200-2,750 pounds. Our drivers calculate axle weights, position totes for optimal balance, and use anti-shift blocking between units. Maximum full-tote capacity varies by truck type and is determined by weight limits rather than space.
Damaged or Leaking Containers
Totes with active leaks or structural damage that could worsen in transit are handled with spill containment trays, absorbent materials, and plastic overwrap. Our drivers are trained to contain leaks on-site before loading and to transport compromised containers in a position that minimizes further loss.
Temperature-Sensitive Contents
For totes containing materials that must remain within a specific temperature range, we offer insulated blanket wraps and coordinate delivery timing to minimize exposure. While we do not operate refrigerated trailers, our scheduling team can arrange early-morning or late-evening deliveries to avoid peak heat during summer months.

Distance
Base rate varies by zone: primary area (0-50 miles), extended Ohio (50-150 miles), tri-state (150-300 miles), and national (300+ miles). Rates decrease on a per-mile basis as distance increases, because fixed dispatch costs are amortized over a longer haul.
Truck Type
Smaller box trucks cost less per trip but more per tote than full trailers. The optimal truck depends on your volume � we will always recommend the most cost-effective option. A full truckload typically delivers the lowest per-unit freight cost.
Volume
Per-tote freight rates decrease as quantity increases. A single tote on a box truck has a higher per-unit cost than 80 totes on a full trailer. We publish tiered rate cards for recurring accounts so you always know the cost in advance.
Scheduling
Standard scheduled pickups are our most economical option � we batch them with other stops on the same route. Same-day and rush requests incur a premium because they require dedicated dispatch outside our optimized routing plan.
Loading Requirements
Standard dock-level or ground-level loading is included in the base rate. Specialized loading � crane lifts, confined-space extraction, or extended wait times beyond 60 minutes � is quoted separately.
Service Bundles
Transportation bundled with cleaning, recycling, or buy/sell services is priced at a lower rate than standalone freight. Clients who use multiple Cleveland IBC services receive consolidated logistics pricing that reflects the reduced per-trip overhead.

Free pickup is available on qualifying orders � typically 10 or more non-hazardous totes within our primary service area (50 miles of Cleveland). For recycling pickups, the free threshold may be lower because we recover material value from the totes. Smaller quantities or locations outside the primary zone incur a flat pickup fee that we quote upfront.
Can you pick up on weekends?
Yes. Saturday service is available within our primary zone with advance scheduling. Our dispatch team works Saturday mornings 7 AM to 3 PM. Sunday service is available for emergency or time-sensitive situations at a premium rate.
How do you handle full (liquid-loaded) IBC totes?
Full 275-gallon totes weigh approximately 2,200 pounds each. Our drivers calculate axle weights, position totes for optimal balance, and use blocking between units to prevent shifting. Maximum full-tote capacity per truck is determined by weight limits, not space. A 53-foot trailer can carry 40-44 full totes depending on content density.
What if my facility has limited access or tight spaces?
Our 16-foot box trucks navigate tight urban sites, narrow alleys, and small parking areas that larger vehicles cannot access. For extremely constrained sites, we can arrange a team with hand trucks and pallet jacks to shuttle totes from your storage area to the truck staged on the nearest accessible road.
Do you provide proof of delivery?
Every delivery includes a signed bill of lading, a delivery receipt with the recipient signature, and timestamped GPS confirmation. Photo documentation of the delivered load at your dock is captured by the driver and available on request.
Can you transport IBC totes containing hazardous materials?
Yes. Our drivers hold current DOT hazmat endorsements and our fleet is equipped with spill response equipment. Proper shipping papers, placards, and emergency response information accompany every hazmat shipment per 49 CFR requirements.
